Things small business owners actually ask.
Everything we get asked on first calls, collected in one place. Browse by topic on the left — and if your question isn't here, send it our way.
Getting started
What's included in monthly bookkeeping?
Monthly bookkeeping includes categorizing every transaction in your bank and credit-card accounts, reconciling those accounts to statements, generating a monthly Profit & Loss statement, and running a basic review of the numbers to flag anything unusual. The Growth and Pro packages add HST tracking, cash-flow analysis, and ongoing financial guidance.
How do I switch bookkeepers if I already have one?
It's straightforward. We coordinate with your current bookkeeper to transfer your QuickBooks Online file or other records, review the historical data for accuracy, and pick up from where they left off. Most switches are completed within 2–3 weeks.
What does the in-person onboarding visit involve?
For local clients, we visit your business as part of step 2 of our process. We see how revenue is generated, how expenses happen, and how the business actually operates day-to-day. It's optional — but it's one of the most valuable parts of our onboarding for owners who can offer it.
Can you fix months or years of messy books?
Yes — that's our catch-up & cleanup service. We'll quote a fixed price after reviewing the scope. Most cleanups are completed in 2–6 weeks. Once your books are current, you'll move into one of our ongoing monthly packages.
Pricing & plans
How big is too big — or too small — for your services?
Our packages are designed for small businesses under about $300K in annual revenue and up to ~300 monthly transactions. Smaller side businesses or freelancers fit our Starter plan. Once you outgrow Pro & Advisory, we'll either scope a custom package or refer you to a full-service firm.
How does pricing change as my business grows?
If your transaction volume grows past the limit of your current plan, we'll move you to the next tier with no fees. Custom volumes (above ~300 transactions) are quoted individually.
What's the minimum commitment?
There's no long-term contract. Our packages are billed month-to-month and you can cancel any time. Most clients stay because the monthly insights become part of how they run the business — but the door is never locked.
Do you offer payroll?
Yes — payroll is available as an add-on, typically $100–$250 per month depending on number of employees and pay frequency. We handle pay-run processing, payroll tax remittances, and T4 preparation.
Can I just hire you for a one-time project?
Yes — catch-up & cleanup is the most common one-time engagement. We also handle one-off chart-of-accounts setups, QuickBooks migrations, and pre-tax-season tidy-ups.
Tax & HST
Do you file my income tax return?
We do not file personal or corporate income tax returns. We provide accurate, year-end-ready financials that your accountant uses to prepare your tax return. If you don't have an accountant, we can refer you to one in the GTA West.
Do you handle HST filing?
HST tracking and preparation is included in the Growth plan. Full HST filing and compliance is included in the Pro & Advisory plan. Starter clients can add HST filing as a small monthly add-on. We also help clients understand whether they need to register for HST in the first place.
Are you a CPA?
Katerina is currently advancing toward the CPA designation. The work we provide — bookkeeping and bookkeeping-adjacent advisory — does not require a CPA license in Ontario. For audit, attestation, or formal accounting opinions, we refer to licensed CPAs.
Software & data
What software do you work in?
We work primarily in QuickBooks Online — it's our recommended platform for small businesses in Canada. If you're on a different platform (Wave, Xero, Sage, etc.) we'll review your situation during onboarding and either work in your existing system or recommend a migration.
How do you protect my financial data?
We work in QuickBooks Online with multi-factor authentication, encrypted file transfer for any documents you send us, and secure password storage. We never share or sell client data, and we sign engagement letters that include a confidentiality clause.
How often do we communicate?
Once a month at minimum — when we deliver your monthly report and insights. Pro & Advisory clients receive priority response times and additional check-ins. You can email us any time with a question, and we respond the same or next business day.
Scope & roles
How is bookkeeping different from accounting?
Bookkeeping is the day-to-day work of recording and organizing your financial transactions. Accounting is the higher-level analysis, year-end reporting, and tax filing that's built on top of those records. Sagebooks focuses on monthly bookkeeping plus advisory — clean records, clearly explained, with practical insights every month.
Do I need a bookkeeper if I already have an accountant?
Yes — they do different jobs. Your accountant typically prepares your year-end financials and taxes once a year. A bookkeeper keeps your books current every month, so when your accountant files at year-end, the data is already accurate. It also means you actually know how your business is doing throughout the year, not just in April.
Do you only work with businesses in the GTA West?
We focus our marketing and in-person onboarding on Mississauga, Oakville, Brampton, and Milton because that's where we have the deepest local network. Our delivery is remote-first, so we can serve any small business in Ontario.
